Create statuses that match your team's workflow.
Custom Statuses
The default statuses work for most teams, but you can customize them to match your specific workflow.
Managing Statuses
To manage your statuses:
- Go to Settings → Statuses
- Here you can:
- Create new statuses
- Edit existing statuses
- Reorder statuses
- Delete unused statuses
Creating a Status
Click New Status and configure:
Name
A clear, concise name. Good examples:
- "Needs Info" (for posts needing clarification)
- "Backlog" (for triaged but not prioritized)
- "Blocked" (for items waiting on dependencies)
Color
Choose a color that makes sense:
- Blue for active/in progress
- Yellow for attention needed
- Green for done
- Gray for closed/inactive
Category
Assign to a category:
- Active — Work is ongoing
- Complete — Work is done
- Closed — No action planned
Show on Roadmap
Toggle whether posts with this status appear on your public roadmap.
Custom Workflow Examples
Startup (Simple)
- Open
- Building
- Shipped
- Not Now
Product Team (Detailed)
- New
- Triaged
- Needs Research
- Planned
- In Development
- In Review
- Released
- Won't Do
Agency (Client-Focused)
- Submitted
- Under Review
- Approved
- In Progress
- Client Review
- Deployed
- Declined
Reordering Statuses
Drag and drop statuses to reorder them. The order affects:
- The dropdown menu when changing status
- Roadmap column order
Editing Statuses
Click any status to edit:
- Change the name
- Update the color
- Move to a different category
- Toggle roadmap visibility
Existing posts keep the status — nothing breaks.
Deleting Statuses
You can delete statuses that aren't in use. If posts exist with that status:
- You'll be prompted to move them to another status
- Or the deletion will be blocked
Default Status
One status is marked as the default. New posts automatically get this status. Usually this is "Open" or "New".
To change the default:
- Edit the status you want as default
- Toggle "Set as default"
